Overview of the Tasks page

This guide will explain the general information on the Tasks page and how to use the filters to search for tasks.

On the task page you can find and edit the tasks of all levels for which you have the task permission. When you open the Tasks page, the first tab lists the open tasks assigned to you. If a task has sub-tasks, these will also be listed on the first page, even if only one of them is assigned to you. The other tabs show the unassigned tasks and all tasks.

The list brings each task on its individual line with the information that belongs to it. In this list, sub-tasks are listed on the same line as the main task. Following information about the tasks will be displayed in the list:

  • the document ID to which the task is connected,
  • the observation ID,
  • the creation date of the task,
  • the level where the task is created,
  • the tool from which the task was created,
  • the description of the task,
  • the status of the task and the status of the subtasks are shown here,
    • Grey: The task has no responsible person or deadline.
    • Yellow: The task has a responsible person and a deadline, and it is open, and the deadline has not been passed.
    • Green: The task has been marked complete.
    • Red: The task has at least a deadline, which has been passed and the task is open.
  • and the latest record of the task's status edit history.

The tasks in the list can be organised by document and observation ID, creation date, level or tool. Clicking on the arrows next to the column of your choice will edit the order of the list. In addition, you can use filters to filter the tasks you want to display or direct open search to find a specific task.

Searching and filtering tasks

On the Tasks page, you can search for tasks from all tabs: My, Unassigned and All, using the filters.

Filters:

Search field: tasks can be searched using an open search field with different words.

Status: the status of a task can be used to search for closed or open tasks.

Select tool: it is possible to filter tasks based on the tool used to create them.

Select level: tasks can be filtered by levels in the organisation tree.

Show expired only: This option filters the open tasks to only those that are past their due date.

To clear the filtering, press Clear Filters. You will then see again all the tasks on that tab.
