Notifications and their management

This guide will walk you through Impact's notifications and how to manage them from the admin page.

Notifications will always be sent to the user by email. Since notifications of events will be sent to users via email, it is important to make sure messages ending with @kiwaimpact.com are successfully delivered to users to guarantee a smooth user experience.

From the email notification, you can click through to Impact and view the document, task or SDS in question directly. If the button in the email doesn´t work, you can copy the link from the end of the email into your browser.

Notifications

Below is a list of all Impact notifications and the situations when they are sent to different users.

 

Weekly reminder - tasks assigned to you

This notification is sent out every Monday to users when there are assigned tasks for them to do. The notification will show the following information for these tasks:

  • the task's own detection ID, which is used to find the task in Impact,

  • when the task was created,

  • the site where the task was created,

  • the name of the tool which has been used to create the task,

  • the task description,

  • name of the user which the task is assigned to,

  • and the deadline for task in case there is one.

 

Weekly reminder - tasks at your sites

This notification will be sent every Monday to users when there are unfinished tasks on their sites. The notification will show the following information about these tasks:

  • the task's own detection ID, which is used to find the task in Impact,

  • when the task was created,

  • the site where the task was created,

  • the name of the tool which has been used to create the task,

  • the task description,

  • name of the user which the task is an assigned to,

  • and the deadline for task in case there is one.

 

Weekly reminder - expired and expiring trainings

This notification will be sent every Monday to users when there are assigned trainings on their sites. The notification will show the following information about the trainings:

  • the name of the user to whom the training is assigned,

  • the name of the training,

  • the status of the training,

  • the date until which the training is valid,

  • and the date on which the training must be completed by the user.

 

You have been assigned a task

This notification is sent to users every time they are assigned new tasks. The notification will display the following information about the tasks in the notification:

  • when the task was created,

  • the site where the task was created,

  • the name of the tool which has been used to create the task,

  • the description of the task,

  • name of the user which the task is an assigned to,

  • and the deadline for task in case there is one.

 

Chemical was added

This notification is sent every time a new chemical is added to your account for any site. The notification is sent to users with Admin and/or Chemical Manager permissions for the site to which the chemical has been added.

 

Safety data sheet updated

This notification is sent every time a safety data sheet is updated for a chemical in use in your account. The notification is sent to the user who has Admin and/or Chemical Management permission for the site where the chemical is in use.

 

New document created in your area of responsibility

This notification is sent to users every time a new document is created in their area of responsibility. As a special case, this notification can also be edited on a per-document basis on or off.

 

Managing notifications on the admin page

On the admin page from the Notifications tab, you can manage all the above notifications per organization and per user. Below is a walkthrough of how to edit the organization and user-specific settings and their effects.

 

Organization's default settings

The organization's default settings can only be edited by account owners. These settings allow two things to be edited from the notifications, which are described below. These settings are independent of each other, so the standard organizational settings allow you to customize notifications to suit individual users and the organization.

 

Send notification

This setting determines by default setting when Impact sends or doesn´t send a notification as has been above described in this guide. When the option is checked, the notification will be sent to users and when the option is not checked, the notification will not be sent to users.

 

User can edit

This setting allows users to edit their own notifications through their own profile. This setting can be edited by each notification individually on or off. The Send notification setting in the organization’s default settings is the basis for users' notifications in their own profile. Users can switch notifications off or on in their own profile when tis User can edit setting in on.

 

User-specific notification settings

Admins can edit the user-specific notification settings for each user in the admin page notifications tab. The steps for editing user-specific notifications are below.

 

1. Select the user you want from the user list left.

2. Select the notification which you want to turn on or off from the list on right.
